Description :

RumbergerKirk has an immediate opening for a receptionist in its Orlando office. We are looking for a highly self-motivated candidate, willing to learn and work in a fast-paced environment. As our receptionist, you will be the firm’s ambassador and its first impression on guests and visitors. The role encompass a variety of client services and administrative duties.

Essential Functions and Basic Duties

  • Answering incoming calls, screening, directing callers to appropriate attorneys and staff, and delivering timely and accurate messages.
  • Welcoming and assisting clients, guests, attorneys, and vendors.
  • Providing callers with information regarding office address(es), directions to firm locations, website information, fax numbers, etc.
  • Updating phone extension list, firm employee roster and directory of all offices.
  • Validating parking tickets for approved clients and visitors.
  • Overseeing scheduling use of conference rooms for meetings, depositions, mediations, luncheons, visiting attorneys, etc.
  • Assisting other Office Services members with set-up and clean-up of conference rooms and kitchens.
  • Tracking and send out daily absentee list.
  • Contacting property manager regarding maintenance requests (coordinating with Operations Support Specialist), as well as manage select vendors related to the front desk and lobby area.
  • Backing up other Office Services members when they are out of the office.
  • Assisting attorneys, managers, paralegals, and other staff with other miscellaneous projects. Such as opening files; filings in State and Federal Courts; updating files for court hearings; inputting attorneys’ time – as time allows.
  • Assisting in closed file process and Iron Mountain inventory management
Qualifications

Qualifications

  • High school Diploma or Equivalent. Some college preferred.
  • Ability to remain courteous and professional at all times.
  • Team player.
  • Ability to operate switchboard and computer.
  • Advanced technology experience with Microsoft Outlook, Word and Excel.
  • Creative problem solving.
  • Ability to work independently without constant supervision.

Physical Activities and Requirement of this position:

  • Speaking: Ability to communicate clearly and effectively.
  • Hearing: Ability to hear average or normal conversations.
  • Finger Dexterity: Ability to press buttons and dial the telephone.
  • Repetitive Motions: Movements frequently and regularly required using the arms, wrists, hands, and/or fingers.
  • Visual Abilities: Average visual acuteness to inspect documents and operate office machinery.
  • Physical Abilities & Strengths: Sitting for long periods of time. Lifting and moving boxes.

Mental Activities and Requirements of this Position

  • Reasoning Ability: Common sense to solve problems and carry-out instructions.
  • Mathematics Ability: Ability to perform basic math skills.
  • Language Ability: Ability to speak, write, and communicate effectively in English. Some familiarity with the Spanish language is helpful.
