Position Title: Human Resources (HR) Administrative Assistant

Reports to: Operations Manager

Location: Agana Heights, GU

Employment Status: Full-Time

FLSA Status: Non-Exempt

Position Summary: Aldevra is currently seeking a qualified Administrative Assistant to support the Human Resources (HR) Department at the U.S. Naval Hospital in Agana Heights, GU. This position is contingent upon contract award.

DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Prepare and track all officer promotions.
  • Prepare, track, and coordinate incoming and outgoing correspondence(s) received, or generated by HRD, and review for proper formatting, grammar and package completeness.
  • Prepare and track all moonlighting packages and member hours of participation.
  • Prepare and track appointment letters for primary, and collateral duty assignments.
  • Notify and track midterm performance counseling and final copies of military enlisted evaluations submitted using approved software, verifying compliance and completion.
  • Prepare, coordinate, and provide guidance to include briefing and/or training presentations to staff at all levels for the following HRD inspectable programs: Forms and Reports, Records Management, and Moonlighting (also known as Off Duty Employment).
  • Prepare, track, and format command directives, policies, and notices for completion and is qualified for telework. Ensure that all approved instructions are electronically uploaded to the commands SharePoint Portal for staff review.
  • Prepare, track, coordinate and conduct random audits of all command departments and designated collaterals for adherence, accuracy, and completion of approved File Plans. Maintain retention and dissemination schedules for HRD records.
  • Prepare, track and format command approved forms. Ensure all command approved forms are current and uploaded to navy approved repositories.
  • Prepare, develop, coordinate and conduct/present HRD programs formal briefing and program training materials for all staff as required by each program.
  • All other duties as assigned.

Security Requirements:

  • Must be able to obtain a Department of Defense (DOD) clearance.

This position requires passing an extensive background check.

Qualifications:

  • High School diploma or Equivalent with courses in typing, filing, office methods and business English.
  • Two years or more employment experience in Human Resources support role.
  • Two years or more employment experience in a healthcare facility.
  • Possess the ability to provide information and assistance to members based on personal, written or telephone inquiries.
  • Possess functional skill in typing and use of computers for word processing, use of various Microsoft Office programs, database management for monitoring, is required. A qualified typist is required.
  • Sufficient skills in operating computer terminals, scanners, copiers, printers, fax machines, and email in a work processing/data transcription mode.
  • Knowledge of grammar, spelling, and punctuation.
  • Able to read, speak, write, and understand the English language fluently.
  • Knowledge of the FOIA /Privacy Act restrictions.
  • Valid driver's license
  • Excellent attention to detail; accurate data entry
  • Customer Focused and team-oriented work ethic
  • Able to multi-task efficiently and accurately, focusing on quality
