Essential Functions:
This position processes and maintains Juvenile case files to assist the public and attorneys with information about the status of cases or Clerk?s Office procedures both at the counter, by telephone and email, and resolving any resulting conflicts. Participates in hiring recruitment process when requested. Answers questions, trains, and assists the Courtroom Clerks and Judiciary Clerk in the Juvenile Division. Assists the Supervisor by coordinating and reviewing work of Juvenile employees to ensure equitable distribution, coverage in staff absences and timely and accurate completion. Makes work decisions in accordance with laws, regulations, rules, and Judiciary policies and procedures. Establishes and maintains an effective working relationship with employees, other agencies, the public and members of the bench.Education:
High school diploma (or GED equivalent)
Experience:
Three (3) years of work experience in court operations, or in the fields of criminal justice, Parole and Probation, legal or financial service, to include one (1) year as a Courtroom ClerkNote:
A Bachelor's Degree may substitute one (1) year of required work experience.
A Paralegal/Associates Degree or 60 college credits may substitute one (1) year of required work experience.A Paralegal Certificate may substitute one (1) year of required work experience.
Knowledge, Skills, and Abilities:
Knowledge of:
Functions and duties of the Division and maintain confidentiality as required.
Court forms, practices, procedures, protocols, systems, and equipment required to support the specialized work of the assigned unit(s).
Legal terminology and court procedures.
Skill in:
Listening to verbal instructions and/or review written instructions to fulfill requests and complete various tasks.
Basic mathematics
Interpersonal relations, leadership, and training
Ability to:
Communicate verbally and in writing utilizing proper grammar, punctuation and spelling in an effective, patient, and tactful manner with internal and external customers, including co-workers.
Articulate directions, instructions and information in a group or a one-on-one setting to attorneys, Defendants, Judges, Magistrates, Court staff and other Court agencies using proper word tense and annotation.
Read and apply job-related terminology, codes, policies, procedures, rules, regulations, and laws as required to exercise judgment in their interpretation and application.
Multi-task by organizing, setting priorities, focusing, and concentrating to simultaneously process work and responsibilities error-free within considerable time constraints and in an environment with continuous interruptions; make corrections as needed.
Read and interpret comments, notations and orders, record essential information and initiate appropriate course of action.
Define problems, collect and record data, establish facts, draw valid conclusions, apply common sense understanding and make decisions based on knowledge and experience to solve problems in accordance with established policies and procedures.
Operate a personal computer to perform basic data entry error-free and use a desktop scanner and printer.
Operate a multiple line telephone and answer incoming telephone calls in a respectful and professional manner; repeat information in the correct text it was given.
Operate a copier to make copies, fax documents and scan documents to email.
Research and locate records including differentiating colors used in office filing systems and comprehending and performing numeric sorting and placement of up to 11 alphanumeric characters.
Work under pressure in a fast-paced courtroom handling situations requiring immediate action.
Handle sensitive or difficult situations in an effective and diplomatic manner, including the ability to properly maintain confidentiality of sensitive topics, particularly regarding employee matters.
