Job Description
InTown Homes is currently in search of an enthusiastic individual to work full time as the Front Desk receptionist, as well as being able to help in separate departments as assigned. We are a very busy office and need a dedicated administrative assistant to help in our day-to-day business by providing an excellent attitude, professionalism, attention to detail and organization.

Primary Responsibilities

  • Coordinate telephone calls, visitors, and incoming correspondence -- Determine which interactions should be handled by which department or individual
  • Print Marketing brochures and other marketing material when requested
  • Sort incoming mail and packages DAILY
  • Prepare packages for courier services and reconcile courier invoices
  • Prepare and track packaging for shipping and receiving of all out-going and incoming FedEx, UPS and USPS packages using an online tracking system and mail sorting
  • Maintain adequate inventory of general office supplies
  • Maintain a professional and clean office environment at all times
  • Order and lay out lunch for conference meetings when requested (not often)
  • Perform other administrative duties and functions as may be assigned*
  • Ability to solve practical problems and deal with a variety of variables in situations where only limited solutions exists
  • Must arrive 10 minutes before office opens to have Front Desk coffee ready. Receptionist is expected to stay until 5:00PM unless there is still a guest waiting in receptionist area. Receptionist will have a daily 1-hour lunch break.

Desired Skills & Experience

  • Bilingual -- Spanish/English
  • Office Experience 1-2 years+ (although training will be provided for the right candidate)
  • Associates Degree or higher
  • Organization skills required
  • Microsoft Office proficiency
  • Must be able to handle multiple assignments simultaneously
  • TEAM PLAYER! Always be helpful! Self-motivated, attention to detail, ability to resolve issues diplomatically, friendly and positive demeanor.

Physical Demands

  • Use of muscles to lift, push, pull, or carry boxes when Front Desk shipments arrive (may also use provided dolly)
  • Able to kneel, stoop, crouch, crawl
