Description :

The current vacancies are with the Probation Department. The eligibility list created from this recruitment may be used for future vacancies in other County departments.
Under general supervision, performs a variety of legal clerical work to support the activities of a County department; involves review and analysis of information contained in legal files and records; updates the computer database; assures the accuracy of the filing systems.

Essential Job Functions

  • Provides a wide range of legal clerical support to activities of a County department.
  • Create files and gathers case documents.
  • Prepares, processes and distributes legal documents and reports.
  • Runs criminal history and DMV printout.
  • Updates automated and manual computer records and tracking systems.
  • Types and proofreads legal documents; creates and maintains case files; researches files and computer databases.
  • Sorts and codes paperwork according to established department guidelines.
  • Receive legal documents for filing; examine documents for form, sufficiency of information and conformance with legal requirements.
  • Assigns cases to established court calendar.
  • Contacts various agencies and organizations regarding legal documents.
  • Checks local and state databases for case and client information, and collects and distributes related paperwork and information.
  • Collects statistical data and compiles data for reports; updates the statistical database.
  • Promotes programs as assigned; projects positive support of the department and county organizations at all times.
  • Adheres to the confidentiality standards of the Privacy Act of 1974, {U.S.C. § 552A} as amended.
  • Performs other related duties as assigned.
Minimum Qualifications
  • A high school diploma or GED.
  • Three (3) years of general clerical, administrative or office support experience OR
  • One (1) year of legal clerical experience.
  • Associate's degree or a Certificate of Achievement in computer applications, business management, office assistant or legal office assistant from an accredited college or university may be substituted for one (1) year of general clerical experience.
  • May be required to possess a State of California driver's license and successfully pass a background investigation, fingerprinting, criminal and other relevant records checks.
Environmental Factors and Conditions/Physical Requirements
  • Work is performed in an office environment; may be required to lift and carry 35 pounds.
