BASIC FUNCTION
To provide prompt and friendly customer service to all employees, clients, partners and vendors over the telephone and in the office. Promptly route all visitors, telephone calls and correspondence to the appropriate employee. Ensure the office is running smoothly, is adequately stocked and all equipment is functioning correctly. Assist processors, loan originators and branch manager with mortgage related tasks.
ORGANIZATIONAL RELATIONSHIPS
Reports to: Branch Manager
Direct Supervisory Report(s): None
ESSENTIAL DUTIES
A. Complete opening and closing procedures for the office each workday.
B. Direct incoming calls, clients, vendors and partners to the appropriate employee in a warm and welcoming manner.
C. All communication should be professional, polite and positive where the visitor feels welcome and comfortable.
D. Distribute all incoming mail and overnight packages to the appropriate employee.
E. Ensure office machines are properly stocked and are in working order.
F. Call in equipment malfunctions to approved vendor and document each call.
G. Order office supplies, postage and overnight carrier supplies and basic office equipment supplies (toner) and check in when they arrive; resolve discrepancies when necessary.
H. Ensure the refreshments for clients and staff are fresh and adequately stocked.
I. Pick up the reception area and conference rooms throughout the day as necessary.
J. Post mail and prepare outgoing overnight shipments with the approved carrier.
K. Assist in maintaining the kitchen area(s) and cleaning out the refrigerators on a monthly basis.
L. Notify building management of any janitorial or building issues when the issue arises.
M. Assist Processors with order-out function on loan files including ordering titles, tax transcripts and processing form 4506.
N. Assist loan originators in setting up the hard-copy loan file.
O. Assist Branch Manager in processing branch paperwork including invoices and communicating to corporate.
P. Assist with daily problem-solving and trouble-shooting.
Q. Ensure that an environment of teamwork is maintained at all times.
R. Maintain the highest possible level of customer service.
S. Interface with other departments as necessary to ensure the smooth operation and growth of the Organization.
T. Other duties as assigned
. Requirements:
STANDARDS OF PERFORMANCE / MINIMUM QUALIFICATIONS
A. Has set working hours and arrives to work on time.
B. Notifies manager of vacation and sick days in a timely manner.
C. Minimum of 2 years of office environment experience.
D. All calls are answered within 3 rings.
E. Eye contact is made with every person who enters the Reception area.
F. Communicates challenges and opportunities to Manager.
G. Ability to be flexible, multi-task and organize priorities in a fast paced work environment, while maintaining a high level of focus and accuracy.
H. Effective verbal and written communications skills
I. Knowledge of mortgage industry practices and regulations
J. Strong analytical skills, combined with sound judgment and decision making abilities
K. High level of professionalism and ability to maintain confidentiality
L. Strong customer service values and the ability to deliver a high level of responsiveness to both internal and external customers
M. High level of computer literacy
