Position Summary:

The Executive Assistant will provide administrative support to the Chief Executive Officer and Executive Team in all aspects of the company operations and functions including; Accounting, Human Resources, Loan Operations, Licensing and Compliance, Corporate Event Planning, company correspondence, calendar management, travel arrangements and various projects. This individual must have strong organizational skills as well as actual hands-on experience in multi-tasking in an office setting.


Essential Job Functions:

Specific tasks will include, but are not limited to, the following:

  • Provide administrative support to the CEO in all aspects.
  • Additional administrative support to the NFM Executive Team as assigned.
  • Assist in maintaining operational functions for multiple companies to include accounts payable, banking, vendor relations, regulatory compliance, mortgage servicing, and certifications.
  • Assist the Chief Executive Officer in all aspects of company operations and executive support functions, complete tasks and correspondence as requested by the Chief Executive Officer.
  • Assist CFO in managing and reconciling corporate vendor accounts, equipment leases and various accounting projects.
  • Responsible for year-end tax reports and filing.
  • Work directly with the third-party accounting firm and CFO in gathering supporting documentation for the company and Chief Executive Officer’s return filings.
  • Prepare Chief Executive Officer’s personal financial statement (PFS) quarterly.
  • Assist in maintaining recertification with third party relationships including; correspondent investors, warehouse lines of credit, communication and automated system providers.
  • Contract and lease management in conjunction with Legal and Compliance Department.
  • Assist with various financial and regulatory agency audits including; annual financial audit, sales and use tax audit, federal and state regulatory exams.
  • Appointment and calendar management for the Chief Executive Officer.
  • Perform daily administrative support for the Chief Executive Officer and/or Executive Team.
  • Manage compliance documentation as it pertains to registered agents and annual report filings with federal and/or state agencies.
  • Maintain licensing and continuing education to meet all federal and state requirements.
  • Coordinates the Chief Executive Officer’s travel arrangements and event planning.

Required Job Functions:

Specific tasks will include, but are not limited to, the following:

  • Effectively communicate, work with, and build relationships with all levels of constituents including culturally and linguistically diverse staff members and external candidates and/or vendors, while operating in a fast-paced customer service driven environment.
  • Corporate or charity event planning as needed at HR Director request.
  • This position may require occasional overtime and travel.
  • Additional tasks as assigned.
