Position Summary
The Executive Assistant will manage the daily operations and administrative functions for the Chief of Staff, Chief Academic Officer, and Head of School. This multifaceted role requires an individual who can maintain the highest standards of confidentiality, discretion, and professionalism. The ideal candidate will excel at anticipating needs proactively, prioritizing tasks efficiently, and handling details with meticulous care. They must demonstrate exceptional resourcefulness, adaptability to quickly changing situations, and the ability to perform effectively under pressure. A key aspect of this position involves resolving issues through strong interpersonal relationships. The Executive Assistant will report directly to the Chief of Staff, while also having a dotted line reporting relationship with the Chief Academic Officer and Head of School for work assignments related to their respective areas.
Primary Responsibilities
Board of Directors Support
- Support the Chief of Staff in effectively serving the needs of the Board of Directors to include:
- arranging and handling all logistics for Board meetings, the board retreat, board trainings, and events
- sending board and committee meeting calendar invites, updates, and pre-approved email communications;
- developing an annual board meeting planning calendar and working with internal staff to ensure adherence;
- supporting the management of information in the board’s electronic board management system;
- collecting and preparing information for board and committee meetings on time
- Maintaining up-to-date board contact lists and annual board forms and tracking board training requirements through routine contact with board training vendor to ensurtimely compliance.
- Recording and preparing board and committee meeting minutes on behalf of the Chief of Staff and Board Secretary.
- Complete a variety of administrative tasks including:
- Preparing and submitting procurement requests, travel requests, field trip/bus requests, meal orders, and other logistical components related to staff orientation, special and mentoring program events in compliance with school guidelines, procedures, and established timelines
- Prepare monthly credit card reconciliations and supporting documentation via school forms, non-check request forms, and procurement order forms as needed.
- Provide support to the Communications Team in emergency and backup situations
- Track School Open Records Requests for timely follow-up
- Schedule and coordinate meetings and follow up on meeting action items as needed
- Coordinate with other departments to address needs and issues that may arise
- Prepare Academics & Strategy Committee agenda documents
- Replenish school stationery and letterhead envelopes.
- Assist in organizing and executing projects and initiatives led by the Chief of Staff, Chief of Academics, and the Head of School’s Office, tracking project progress, deadlines, and deliverables
- Assist in organizing documents for Strategic Planning, Annual Implementation Planning, Accreditation, and Charter Renewal
- Coordinate special projects, events, and initiatives as assigned.
- Serve as a liaison between executives and internal/ external stakeholders
- Handle confidential and sensitive information with discretion and professionalism
- Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the Head of School’s style and organization policy
- Provide sophisticated calendar management of the Head of School’s calendar by prioritizing inquiries and requests while troubleshooting conflicts; making judgments and recommendations to ensure smooth day-to-day engagements, and notifying the Head of School of priority inquiries and requests
- Support with administrative tasks including but not limited to drafting documents, triaging emails, and organizing files.
- College degree preferred
- Experience: Minimum of 3-5 years of experience in an executive assistant or similar role.
- Nonprofit board experience preferred.
- High degree of professionalism in dealing with diverse stakeholders including Board members, senior executives, staff, parents, community leaders, and funded partners.
- Make appropriate, informed decisions regarding priorities and available time.
- Ability to complete a high volume of tasks and projects efficiently and with quick turnarounds
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Excellent judgment is essential.
- Demonstrate agility in adapting to changing circumstances (or priorities)
- Expert proficiency with Microsoft Office
- Knowledge of CANVA and Google Suite preferred
- Excellent organizational and time-management skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong verbal and written communication skills
- Exceptional organizational skills and impeccable attention to detail.
- Ability to handle confidential information with integrity and professionalism.

- Salary Range: $53,952 to $79,231
