The Executive Admin will lead complex and fast paced schedules and priorities for the CEO and direct reports of the CEO, as needed. You will build successful relationships internally and externally with board members, customers, partners, executives, supplies, and employees. The Executive Admin will organize and schedule an array of meetings and events (on-site, virtual, and hybrid), including both internal and external with employees, customers, partners, etc. across multiple time zones, (including event, catering, facilities, and transportation management when needed).
To ensure success as the Executive Admin, you will lead all aspects of executive travel both international and domestic efficiently and accurately. You will manage administrative processes including: subscriptions, memberships, external speaking opportunities, board meetings, procurement, shipping, accounts payable, expense reporting, etc. The Executive Admin will manage special projects including presentation preparation, supporting company-wide initiatives, space planning, distribution list management, etc. You will support and prepare organization-wide communication and partner with other leaders within OneCompass and the portfolio companies to ensure close alignment and connectivity across all businesses and all departments.
Duties:
- Manage all requests through Ticket Manager for the assignment of tickets to OneCompass Holdings venues
- Submit expense reports for Chairman, CEO and all direct reports of the CEO
- Manage travel for the Chairman, CEO and all direct reports of the CEO
- Assist in scheduling of meetings and events for the Chairman, CEO and all direct reports of the CEO
- Help coordinate schedules and travel needs of the OneCompass board and the board members of all portfolio companies
- Assist the Chairman & CEO with the compilation of all board decks and town hall decks
- Coordinate meetings and travel with acquisition target companies and do so with a high degree of confidentiality
- When the Chairman & CEO is out of the office for meetings or travel, monitor the Inbox and respond, delete or file emails in order to make sure important emails are being addressed and other emails are being deleted/filed

- Take ownership of your Duty to Communicate all required and relevant information to necessary people, departments, and customers
- 5+ years of executive administrative experience or 5 years of experience at FST Logistics is desired but not required
- High attention to detail, organizational skills, and processes
- Experience working with executives that have a heavy travel and meeting schedule
- Experience with event planning
- Proficient in the use of Microsoft Word, Microsoft Excel, Microsoft Powerpoint, Microsoft Outlook and Microsoft Teams.
- Experience working with NetSuite would be a plus but is not required
- Strong verbal and written communication skills with the ability to communicate clearly and effectively with senior leaders and external partners at all levels
- Ability to efficiently and effectively multitask, prioritize incoming requests appropriately, and manage conflicting priorities A high degree of discretion and strong commitment to confidentiality is required
