Description :

Responsible for coordinating day-to-day administrative and academic operations for assigned faculty. Performs a full range of administrative, secretarial and clinical support duties under the general supervision of the Sr. Admin Assistant, Department Administrator and immediate supervision of assigned faculty.


Position Requirements

Educational Requirements: Associate degree with advanced training in word processing, computer graphics and similar course work. May substitute experience.

Experience Requirements: Two to three years progressively responsible secretarial experience, preferably in a health care or academic setting. May substitute education for a portion of experience requirements.

Business Skill Requirements: Advanced knowledge of word processing, computer graphics, and spreadsheet applications. Good written and oral communication skills are required.

Preferred Attributes: Ability to work under pressure, set priorities, exercise tact and diplomacy, and demonstrate sound judgment.

Specific Duties and Responsibilities Percentage 25%
Duties

Answers incoming lines, screens calls, takes messages and provides information according to established policies. Obtains patient records, films and documents as required for patient appointments. Acts as liaison between faculty, staff, administration, and hospital personnel.


Percentage 20%
Duties

Acts as a liaison between physicians, patients and allied health professionals. Responds to inquiries, both telephone and written, from patients, referral sources, insurers, etc. or routes to an appropriate individual. Screens new patients and schedules appointments for new and return clinic visits and tests with both internal and external departments/centers. Obtains pre-certification of procedures order by assigned faculty. Acts as primary liaison between faculty and hospitals, including, but not limited to scheduling all surgeries with various facilities, including TGH, Moffitt, VA, and Ambulatory Surgery Center. Supports faculty in off-site, satellite clinic location with arriving patients and maintaining clinic operations.

Duties

Composes correspondence, memos, reports and minutes of meetings. Prepares typewritten material from machine dictation, handwritten material and oral instruction. Prepares electronic presentations and documents for teaching conferences and presentation at professional meetings.


Percentage 10%
Duties

Maintains files and records of reports, grant activity, and correspondence. Responsible for written requests and work in progress to ensure timely action. Processes incoming and outgoing mail.. Deals discreetly with large volume of sensitive, confidential information concerning professional and hospital affairs.


Percentage 10%
Duties

Maintains appointment calendar for assigned faculty. Arranges travel and registration. Prepares itinerary for professional organizational meetings and processes reimbursement. Schedules depositions and court appearances. Provides cross-coverage for other
support staff during vacations and leave time.


Percentage 10%
Duties

Participates in departmental meetings to improve processes. Strives to represent the Department, USFPG and University in a positive and professional manner. Works collaboratively with Sr. Administrative
Asst and Department Administrator to develop and enhance customer service within the Department.


Percentage 5%
Duties

Provides back-up coverage for other support staff (as assigned) in the department during vacations and other leave. Other duties as assigned.
