Administrative Assistant – Caltrans Specific – Auburn, CA

Position Summary:

Blackburn Consulting (Blackburn) is seeking a full-time Administrative Assistant for our Auburn office. The Administrative Assistant will work on day-to-day Caltrans needs in Blackburn’s Auburn office. The Administrative Assistant will be supervised by Blackburn’s Business Manager, and work closely with the CEO and CFO. This candidate shall have at least 2 years of experience performing administrative functions such as data tracking and entry, answering phones, working with vendors/clients/employees, filing, and other office related duties. This position may require some limited travel (< 5%) to our West Sacramento, CA office location and other minor errands if needed.

Position Duties:

  • Data entry, tracking, and filing tasks
  • Pull reports to track contract progress
  • Update and modify excel spreadsheets
  • Order and track office and field supplies
  • Answer phones
  • Work with vendors/clients/employees to gather/provide information
  • Assist with invoices to client
  • Assist field staff with travel/lodging arrangements
  • Help field staff correct timesheet or expense entries.

Essential Abilities:

  • Perform basic calculations using calculator and/or computer
  • Communication skills internally and externally
  • Ability to deliver high-accuracy in data entry
  • Strong organizational skills, making lists and executing tasks
  • Ability to learn new skills
  • Comfortable working with and following instructions from others

Technical Qualifications:

  • High school degree
  • At least two years of valid experience prefered
  • Valid driver’s license and personal vehicle
  • Experience with standard computer operations (Windows based systems)
  • Experience with Microsoft office suite and basic data base entry
  • Basic accounting knowledge (preferred)
  • Caltrans vendor experience (preferred)

Physical Requirements:

  • Read, write, and speak English
  • Communicate clearly in person and over telephone
  • Visual acuity to perform job duties (view computer screens and other printed type)
  • Physical ability to bend, reach, stand, walk, sit, push and pull up to 20lbs of weight
